Privacy Policy – Iron Hand

This Privacy Policy describes how we collect, use, and protect information in connection with the Iron Hand retail operations and surveillance portal (the “App” or “Service”).

Iron Hand is a business-to-business tool used by retail store owners, their employees, and Hiremote’s operations and surveillance teams.

By using Iron Hand, you agree to the collection and use of information in accordance with this Privacy Policy.


1. Who We Are

Hiremote provides remote operations and oversight services for retail stores, including shift reporting, operational reporting, ordering support, and surveillance review. Iron Hand is our internal/external portal used by:

  • Retail employees
     
  • Hiremote operations managers
     
  • Hiremote surveillance reviewers
     
  • Retail store owners/clients
     

“Client” in this policy means the retail business that has engaged Hiremote.


2. What Information We Collect

We collect information in three main ways: (a) information you provide, (b) information your employer/client provides, and (c) technical data generated by your use of the App.


2.1 Account & Contact Information

  • Name
     
  • Email address (for login)
     
  • Role (Employee, Operations Manager, Surveillance Reviewer, Client)
     
  • Store number or store identifier
     

This is usually provided by your employer/client or by Hiremote when we create your account.


2.2 Store & Operational Data

Submitted through the App by employees, operations managers, and surveillance reviewers, such as:

  • Shift packet details (e.g., shift notes, comments)
     
  • Operational report summaries
     
  • Ordering notes and performance comments
     
  • Surveillance review notes (e.g., observed activity, time ranges, camera references)
     

2.3 Uploaded Files & Media

Iron Hand allows users to upload content including:

  • Photos (e.g., cash-count images, sales report images, shelf/stock images)
     
  • Videos (e.g., scratcher/lottery videos, surveillance-related clips provided by the user)
     
  • Documents (e.g., PDFs, reports, text files)
     

These uploads may contain images of store premises, equipment, inventory, and sometimes members of the public or employees depending on what is captured.


2.4 Log & Technical Data

To secure and operate the Service we may collect:

  • Date and time of actions (e.g., logins, uploads, downloads)
     
  • IP address and general region
     
  • Device/browser type
     
  • Error logs and crash data
     

We do not track you across other apps or websites for advertising.

3. How We Use Your Information

We use the information described above to:

  • Provide and maintain the Iron Hand Service
     
  • Authenticate users and secure access to the correct store(s)
     
  • Store and display shift packets, operational reports, and surveillance reviews for authorized users
     
  • Support our retail operations, ordering, and oversight workflows
     
  • Generate audit trails and historical records for our clients
     
  • Improve reliability, security, and performance of the Service
     
  • Respond to support requests and troubleshoot issues
     

We do not sell your data or use it for interest-based advertising.


4. Legal Basis (If You Are in the EEA/UK)

Where applicable (e.g., EU/UK users), we process personal data on the following legal bases:

  • Performance of a contract – to provide the Service under our agreement with the client.
     
  • Legitimate interests – to secure the Service, prevent misuse, and support retail operations oversight.
     
  • Compliance with legal obligations – when we are required to retain or disclose certain data.
     

Most users access Iron Hand as part of their employment with a client; in those cases we primarily process data on behalf of that client.


5. How We Share Information

We may share information only in these limited circumstances:

  1. With the client (retail store owner/operator)
     
    • Shift packets, operational reports, and surveillance reviews are visible to the client and to authorized Hiremote staff.
       

  1. With our service providers
     
    • Hosting providers, storage providers, error logging tools, and similar infrastructure vendors who help us operate the Service.
       
    • These providers are bound by contractual obligations to protect your data.
       

  1. For legal reasons
     
    • To comply with applicable laws, regulations, legal processes, or governmental requests.
       
    • To investigate or respond to fraud, security issues, or misuse of the Service.
       

We do not share your information with third parties for their marketing or advertising purposes.


6. Data Retention

We retain data for as long as reasonably necessary to:

  • Provide the Service to our clients
     
  • Maintain accurate operational and surveillance records
     
  • Comply with legal, accounting, or reporting obligations
     

Clients may request deletion of certain data after their relationship with us ends, subject to any legal or contractual retention requirements.


7. Security

We take reasonable technical and organizational measures to protect your information, including:

  • Authentication-protected access to the App
     
  • Role-based permissions and store scoping
     
  • Sanitized file handling and path-safe download mechanisms
     
  • Use of secure transport (HTTPS) where applicable
     

No system can be guaranteed 100% secure, but we work to maintain a level of security appropriate to the risks associated with the Service.


8. International Data Transfers

Hiremote may have team members and infrastructure in different countries. By using Iron Hand, your information may be processed in jurisdictions that may have different data protection laws than your country of residence.

Where required, we take appropriate steps (such as contractual protections) to help ensure that your data remains protected.


9. Your Rights

Depending on where you live, you may have rights such as:

  • Accessing the personal information we hold about you
     
  • Requesting correction of inaccurate information
     
  • Requesting deletion of certain data
     
  • Objecting to or restricting certain processing
     
  • Requesting a copy of your data in a portable format
     

Because Iron Hand is primarily used on behalf of client businesses, many requests may need to be routed through your employer/client. We will work with the client to respond in accordance with applicable law.

Iron Hand is a business tool intended for use by adults in a work context. It is not directed to children under 16, and we do not knowingly collect personal data from children. If you believe a child has provided personal information through the Service, please contact us and we will take appropriate action.

We may update this Privacy Policy from time to time. When we do, we will revise the “Last updated” date at the top of this page. In some cases we may also notify clients directly (for example, through the App or by email).
